Hitachi Information & Telecommunication Engineering, Ltd. believes that personal information represents human dignity and should be treated appropriately and carefully. Based on this belief, in addition to establishing rules and a management system, Hitachi Information & Telecommunication Engineering, Ltd. has developed the personal information protection policy described here, which is distributed throughout the company, including to board members and employees. Hitachi Information & Telecommunication Engineering, Ltd. is devoted to appropriately handling personal information in accordance with this policy.

Definition of Personal Information

Hitachi Information & Telecommunication Engineering, Ltd. defines "personal information" as information concerning an individual that identifies or that can identify a specific individual via the following items contained in such information. The identification might be either via a single piece of information or in combination with other information. Such information includes information that cannot identify an individual directly, but can be used to easily verify information through comparison with other information, and thereby identifying a specific individual. This information includes, but is not limited to, a person's name, birthday, age, sex, address, telephone number, family structure, interests, habits, email addresses, employer, employment division, office address, office telephone number, credit card numbers, bank account numbers, and images, as well as any numbers or character strings assigned to the person and the goods, products, or services he/she has purchased, websites he/she has accessed, complaints or inquiries he/she has raised, and consultations he/she has sought.
In addition, this shall not be limited to personal identifiers, but shall include any information that indicates a fact, recognition, or assessment about the attribute of individuals, including physical characteristics, property, occupation, or status.

Scope of Application

The scope of personal information that Hitachi Information & Telecommunication Engineering, Ltd. uses for business use is that of personal information obtained directly from the person involved, such as customers and our employees, etc., (hereinafter referred to as the "Individual") with their consent, as well as personal information obtained or provided indirectly through proper channels and methods due to business relationships.

Personal Information Protection Policy

As an information communications company, Hitachi Information & Telecommunication Engineering, Ltd. handles various types of information, including technical information and information provided by customers. Hitachi Information & Telecommunication Engineering, Ltd. respects the value of information and strives to establish and thoroughly implement an information management system. Hitachi Information & Telecommunication Engineering, Ltd. believes that personal information (including specific personal information) represents human dignity and should be treated appropriately and carefully. Based on this belief, in addition to establishing rules and a management system, Hitachi Information & Telecommunication Engineering, Ltd. has developed the following personal information protection policy in accordance with the Act on the Protection of Personal Information, the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure, the Personal Information Protection Management System - Requirements (JIS Q 15001: 2006), and the Guidelines for the Proper Handling of Specific Personal Information (for private entities), and has thoroughly distributed the policy throughout the company, including to the board of directors, regular employees, contractors, part-time staff, and temporary staff (hereinafter referred to as "all employees"). Hitachi Information & Telecommunication Engineering, Ltd. is devoted to appropriately protecting personal information in accordance with its policy.

(Acquiring, Using, and Providing Personal Information and the Prohibited Use of Personal Information for Purposes Other than the Purpose of Use)
Section 1: Hitachi Information & Telecommunication Engineering, Ltd. handles various types of information during its business activities, including information provided by customers and the technical information owned by itself. To protect personal information, Hitachi Information & Telecommunication Engineering, Ltd. has established a management system that is suitable to different business situations. In addition, Hitachi Information & Telecommunication Engineering, Ltd. shall properly handle personal information to the extent necessary for achieving the purpose of use in acquiring, using, and providing personal information, and shall not use such information for any other purposes and shall take measures therefor. Hitachi Information & Telecommunication Engineering, Ltd. shall set up the Personal Information Protection Rules and the Specific Personal Information Protection Detailed Rules to ensure the achievement of the above.

Section 2: Hitachi Information & Telecommunication Engineering, Ltd. shall comply with laws, guidelines stipulated by the government and other regulations regarding the handling of personal information.

(Implementing Security Measures)
Section 3: In order to ensure accuracy and security of personal information, in accordance with the rules and regulations related to information security, Hitachi Information & Telecommunication Engineering, Ltd. shall implement various security measures, such as controlling access to personal information, restricting means of transporting personal information out of the company, protecting against illegal access from outside, and strive to prevent loss, destruction, falsification, and leakage of personal information. If any problem occurs, Hitachi Information & Telecommunication Engineering, Ltd. shall take corrective actions to prevent recurrence.

(Respecting Individual Rights Regarding Personal Information)
Section 4: When a person requires disclosure, correction, or deletion of his/her own personal information; refuses usage of personal information; refuses to provide personal information; files a complaint; or seeks consultation, Hitachi Information & Telecommunication Engineering, Ltd. shall respect the person's rights regarding his/her personal information and respond with sincerity.

Section 5: Hitachi Information & Telecommunication Engineering, Ltd. shall make sure that all employees recognize the importance of personal information protection and that personal information is handled and protected appropriately, and shall ensure that the Personal Information Protection Rules and the Specific Personal Information Protection Detailed Rules are fully implemented. Furthermore, Hitachi Information & Telecommunication Engineering, Ltd. shall maintain and continually improve the rules.

Handling of Personal Information

1. Purpose of Use of Personal Information

  1. (1)Personal information obtained by providing products and services
    Hitachi Information & Telecommunication Engineering, Ltd. will, concerning personal information provided by the Individual while offering products, goods, and/or services, use such personal information for the purpose of: (a) performing a business transaction with the Individual; and, (b) providing support services or any information related to the Individual.
  2. (2)Personal information obtained through contracted services
    Hitachi Information & Telecommunication Engineering, Ltd. will, concerning personal information provided by the Individual while performing contracted services such as manufacturing services, shipment services, and/or maintenance services for hardware products and software products, or engineer management services, use such personal information only for the purpose of executing the service in accordance with the written contract with, or with written instructions from, the Individual.
  3. (3)Personal information obtained directly in ways other than documentary form
    Hitachi Information & Telecommunication Engineering, Ltd. may obtain personal information through public information that falls under any of the following items and directly in ways other than in documentary form from third parties, etc., and will use such personal information that was obtained only for the purpose of executing our services.
    1. 1)Personal information provided via recruitment websites (job applicant information, etc.)
    2. 2)Personal information provided by partner companies (engineer information, etc.)
    3. 3)Personal information regarding products maintenance service (call records, etc.)

2. Provision to Third Parties and Contract Services

  1. (1)Hitachi Information & Telecommunication Engineering, Ltd. shall not provide personal information to any third party without obtaining the prior consent of the Individual, except in the following situations.
    1. 1)Where provision of personal information is required by laws or regulations
    2. 2)Where the provision of personal information is necessary to protect human lives, health, or property, and where obtaining prior consent from the Individual is difficult
    3. 3)Where the provision of personal information is especially necessary to improve public hygiene or to promote the healthy development of children, and where obtaining the prior consent of the Individual is difficult
    4. 4)Where the provision of personal information is necessary to cooperate with national authorities, local governments, or parties entrusted by national authorities or local governments in performing their legal duties, and where obtaining the prior consent of the Individual may obstruct the performance of such duties
    5. 5)Where the handling of personal information is outsourced to the extent necessary to achieve the purpose of use
    6. 6)Where provision of personal information is necessary for business succession as a result of consolidation or other business activities
  2. (2)Hitachi Information & Telecommunication Engineering, Ltd. may outsource all or part of the businesses at hand and shall entrust such outsourcing contractor to handle personal information to the extent necessary to achieve the purpose of use. In this case, Hitachi Information & Telecommunication Engineering, Ltd. will select an entity that meets the standards prescribed by itself as an outsourcing contractor, along with concluding contracts regarding the handling of personal information and conducting proper management/supervision to ensure safety control.

3. Use of Personal Information

The personal information that Hitachi Information & Telecommunication Engineering, Ltd. receives will be used to the extent necessary to achieve the purpose of use clearly specified.
If it is used beyond this scope, Hitachi Information & Telecommunication Engineering, Ltd. will give prior notice to the Individual to receive his/her consent; provided, however, that the same will not apply to the cases that fall under any of items 1) to 4) of (1) of paragraph 2.

Cookies

  2. (2)Any personal data where it is known that the presence or absence of such is likely to prompt or trigger illegal activity or wrongful conduct;

(3)Any personal data where it is known that the presence or absence of such is likely to undermine national security, damage a relationship of confidence with a foreign country or international organization, or put the country at a disadvantage in negotiations with another country or with an international organization;
  4. (4)Any personal data where it is known that the presence or absence of such is likely to interfere with crime prevention, crime control, criminal investigations, or the upholding of public safety and order.

2. Applications Regarding Personal Information (e.g. Request to Disclose)

    Please download the "Application Regarding Personal Information (e.g. Request to Disclose)". If an Individual cannot download the Application Regarding Personal Information (e.g., Request to Disclose), the Individual should contact us. We will send him/her the form by fax or postal mail.
  2. (2)Other Required Documents
    Please enclose the following two documents with the Application Regarding Personal Information (e.g. Request to Disclose) in an envelope, and send them to the mailing address by registered mail.
    1. 1)A copy of your personal identification (For details, please see "Personal Identification".)
    2. 2)The certificate of payment (Please note that correction, addition, or deletion of personal information is free of charge.)
  3. (3)Payment of Service Charge
    There is a service charge of 800 JPY for the disclosure of personal information or notification of the purpose of use. For details, please see "Collection of Service Charges for the Disclosure of Personal Information or Notification of the Purpose of Use". Please note that correction, addition, or deletion of personal information is free of charge.
  4. (4)How to Apply
    Only applications via postal mail are acceptable. Please fill in all the items of the "Application Regarding Personal Information (e.g. Request to Disclose)", enclose the form with a copy of your personal identification, and the certificate of payment if necessary, and send all the required documents to the mailing address below by registered mail.

We will send our reply by registered mail to the address stated on the Individual’s identification (applicant receivable only). The internal investigation takes two weeks. If more than two weeks is necessary, we will contact you.

3. Complaints Regarding Personal Information

If you wish to file a complaint, please fill in the "Complaints and/or Consultations Regarding Personal Information", and send it to the mailing address below.
